Introduction
The Data Checks tool is a predefined set of Reports that you can run at the same time to examine the integrity of your Athlete, Team, and Results data at the click of a button. Some of the Reports run by the checks process will allow you to take action on entries that are flagged in the Report pane on the right.
Using Checks
To run the Checks, simply click the blue Run Checks button on the Scoring > Checks tab. The checks are separated into four categories - Entries, Athletes, Teams, and Results. Any categories containing Reports with errors will turn red and show the total number of error instances for all reports in the category. Likewise, the individual Reports with errors will turn red with the number of error instances displayed to the right.
Categories can be expanded or collapsed by clicking the Category header.
Most Reports will offer an Ignore and Change Selected button at the bottom of the report. Where applicable, the Ignore button will Ignore all instances of an Athlete's or Team's error across all races in the Event. The Change Selected button allows you to make a single change to any number of selected Entries in a Report.
There is also the ability to Export any of the Data Checks for closer examination in Excel.
We do not suggest using Data Checks to export, adjust entries, and then re-import. Changes should be made via the Change Selected function or via the Confirmed Entries report.
Each check and its function is listed below. If a Check allows you to take action on an error entry directly in the Report pane, the action available will be listed at the end of the description.
You can also view each available Report's function and actionable items with the Check Inspector.
Entries
- Duplicate Entries - Flags any Athletes who appear as duplicates in the Event's Athlete database. The report will only flag Athletes with a minimum of four identical fields. You can change the Entry Status of the Athlete or the Race in which the Athlete is registered from the report pane.
- Entry Mixture - Flags any Race that has a mixture of Individual Entries and Relay Team Entries. It is uncommon that an Event would want these 2 types of Entries competing against each other in the same Race. It is likely you may wish to move the Individuals to a new Race or possibly Withdraw them if they are former Team Members. No Actions are currently available in the Report pane.
- Bib Validation - Flags any Entry who has been assigned a Bib number outside defined range in on-site options. Flagged Entries will be scored like normal, but don't fit within the pre-defined range. You can edit individual athletes' bib and tag numbers from the report pane.
- No Bib or Tag - Flags any Athletes who have not yet been assigned a Bib number and/or Tag number. You can assign Bib and Chip numbers from the Report pane.
- Bib - No Tag - Flags any Entry that has a Bib, but not a Tag number. Typically a Tag should match the Bib number. If your event is a non-CT event, you may need to import a bib chip map. You can use Change Selected to copy Bib to Tag.
- Race/Reg Mismatch - Flags any Athletes who are in a Race that is not included in the Athlete's current Reg choice. You can use Change Selected to select athletes' correct race or reg choice.
- Missing Primary Bracket - Flags any Athletes who have not been assigned a Primary Scoring Bracket. Having no Primary Bracket may cause Athletes to not be scored or appear in Online Results. You can select the Athlete's Primary Bracket from the Report pane.
- Bracket Mismatch - Flags any Athletes who have been placed in a Bracket for which they do not qualify due to age, gender, or Race constraints. You can choose between the Athlete's Race and their Bracket from the Report pane.
- Missing Wave - Flags any Athletes who have not been assigned to a Wave. Every race has a Universal Wave that every athlete is part of unless you set up other waves. This report will only flag Athletes who either are not in the Universal wave, or not in any of the other waves that have been set up. You can select the Race and/or Wave the Athlete is in from the Report Pane.
- Wave Mismatch - Flags any Athletes who are in a Wave for which they do not qualify due to age, gender, or Race constraints. You can choose between the Athlete's Race and their Wave from the Report pane.
Athletes
- Gender Not Specified - Flags any Athletes who do not have a Gender specified. This may keep Athletes from being sorted into Brackets or Waves. You can select the Athlete's gender from the Report pane.
- No DOB or Age - Flags any Athletes for whom there is no date of birth AND no Age specified. This may keep Athletes from being sorted into Brackets or Waves. You can specify the Athlete's Reg Age from the Report pane.
- DOB and Age Mismatch - Flags any Athletes who have a date of birth that does not agree with their specified age (i.e. DOB = 5/15/1989, Age = 30) You can specify if either the Athlete's Age OR DOB is correct using the Change Selected button in the Report pane.
Teams
- Relay Members With Bib - Flags any Athletes who are members of a Relay team who have a Tag number assigned to them. Individual Athletes may have individual BIB numbers, but they may not be assigned a TAG number since relay teams share a Tag. You can clear the Bibs and/or Tags for individual Members or all Members in the report by selecting one or multiple entries and using the Change Selected button in the Report pane.
- Individual on Team - Flags any Athletes whose Entry Type is 'Independent' but who are associated with a Team. This can affect proper scoring for the Athlete and the Team. No Actions are currently available in the Report pane, but you may navigate to a specific entry's Athlete page by clicking on the Chrono ID.
- Members Without Team - Flags any Athletes whose Entry Status is 'Member' but who are not associated with any Team. You can choose the Athlete's Entry Type (Standard, Team Member, or Team) from the Report pane. You may also navigate to a specific entry's Athlete page by clicking on the Chrono ID.
- Aggregate Teams With Bib - Flags any Aggregate Teams that have bibs and/or tags assigned to them. Aggregate type teams should not have a bib assigned since each member of the Team has his/her own bib and tag number. You can clear the Bibs and/or Tags for individual Teams or all Teams in the report by selecting one or multiple entries and clicking the Change Specified button in the Report pane. You may also navigate to a specific entry's Team page by clicking on the Team ID.
- Without Captain - Flags any Teams that do not have a designated Team Captain. This is important if the Team Captain Admin feature is enabled in the Team > Configuration tab. No Actions are currently available in the Report pane, but you may navigate to a specific entry's Team page by clicking on the Team ID.
- Without Members - Flags any Teams with no associated members. This can allow you to keep your data clean. You can delete individual Teams or all Teams in the Report from the Report pane by selecting one or multiple entries and clicking the Change Selected button. You may also navigate to a specific entry's Team page by clicking on the Team ID.
- Too Many Members - Flags any Teams that have more members that permitted by the limits set for the Race. No Actions are currently available in the Report pane, but you may navigate to a specific entry's Team page by clicking on the Team ID.
- Age Issues - Flags any Teams that contain Members that fall outside of the age limits set for the Registration Bracket in which the Team is entered. No Actions are currently available in the Report pane.
- Gender Identity Issues - Flags any Teams that contain Members whose Gender falls outside of the Gender limits set for the Registration Bracket in which the Team is entered. No Actions are currently available in the Report pane, but you may navigate to a specific entry's Team page by clicking on the Team ID.
Results
- Interval Mismatch - Flags Entries that have results for Intervals that belong to an Entry's previous Race that the Entry is no longer enlisted in. This can occur if you move an Entry to a different Race after the Entry has been scored. Typically, the old Interval Result is purged, and this check is unnecessary. In rare circumstances, it is possible that an Entry will have a Result in the previous Race, but not their current Race. If this occurs, the Online Results can become corrupt; simply clear results for the Entry. You can use the Change Selected feature to clear results and mark all chips as New for the entry(s).
- Duplicate Reads - This Data Check will flag all instances where an Entry has the same Valid Tag Read being used to rank Intervals at any given Timing Point in their Race. Properly configured courses should not allow this. It is recommended that you use a Minimum Interval Duration to prevent the same Read from being used more than once on your Course.
- Shared Tag in Race - Flags any Athletes who are registered in the same Race that have been assigned the same Bib and/or Tag number. Multiple Athletes with the same Bib or Tag number can cause confusion in results and maybe keep them from being scored. You can specify the Athlete's Bib and/or Tag number from the Report pane.
- Shared Tag in Event - Flags any Athletes in the Event at large that have been assigned the same Bib and/or Tag number. Multiple Athletes with the same Bib or Tag number can cause confusion in results and maybe keep them from being scored. No Actions are currently available in the Report pane.
- Unrealistic Pace - Flags any Athletes or Teams who exceed the Fast Pace or fall short of the Slow Pace defined in a given interval. You can change the Athlete's Race and Entry Status (Confirmed, Withdrawn, Disqualified) from the Report pane.
- Backtracking - This Data Check helps flag Entries that have Valid Reads that do not occur linearly over time. It is assumed that an Entry will have reads that are consecutively later than the previous one. If an Athlete has Reads that occur 'out of order', this Report will flag those Entries as possible Backtrackers. Backtracking could be caused by any number of reasons, so it is recommended that you inspect each Entry to determine the best way to fix Athletes or your Course. No Actions are currently available in the Report pane.
- Only Valid Reads at Finish - Flags any Athletes or Teams who do not have valid reads at any point but the Finish. This check is useful for identifying non-participants and possible cheaters.
Optional Results Checks
The reports below are run on a Point-by-Point and Race-by-Race basis and must be added manually. To add either of the Checks below, click the + Add New Data Check button, select the desired report from the dropdown, and select the Timing Point for which the Report will be run. You may only select one Timing Point per report.
- Backup Only - Flags Entries who only have a Valid Read on a Priority 2, 3, or 4 Timing Device. This may help identify Entries see who have been missed on the primary line. No Actions are currently available in the Report pane.
- Missing Read - Flags any Athletes who have a missing valid read from the selected timing point. This check may only be added one time per race, but it can be edited after it is added to look at different Timing Points. Ignoring an entry will ignore the entry at all other locations for that Race. You may navigate to a specific entry by clicking on the ID.
- Race Jumper - This data check was once referred to as a Cheater Report, and the functionality hasn't changed. This check flags Entries that have a valid read on a timing point that is in a Race that they are not in. If course logistics allow it, it may be used to identify Athletes who are running a Race that they are not signed up for. This check is best used when a Timing Device is unique to a Race. You can change an Athlete's Race, Wave, or Status from the report pane, or select multiple entries and batch change them using the Change Selected button.
- Unknown Runner - This check shows the Tag Number, Time, Timing Device Name, and Unique Reads for each unknown runner read. This information can be useful in identifying runners for whom there is no data in ChronoTrack Live.
- Timing Data - This check shows the Time of Day, Net Time, and Gun Time for each athlete at a given point. You can only select one point in one race per data check.
